Documents employees commonly collect for old-regime payroll proof.
First, Confirm Your Regime
Proofs matter mainly under the old regime. If you have chosen the new regime, most of these deductions are unavailable, and the employer usually needs little beyond employer NPS details handled through payroll.
Rent And HRA
Keep rent receipts, rent agreement, payment proof and landlord PAN where required.
Match the claim period with actual rent paid.
Many employers ask for landlord PAN once annual rent is above ₹1 lakh. Make sure the agreement period, the receipts and your bank transfers tell the same story.
If you moved homes during the year, submit a separate agreement and set of receipts for each period.
HRA And Home Loan Together
If you claim both HRA and home-loan interest, be ready to explain why, for example because the house you own is in another city or is let out. Employers commonly ask for a short declaration in such cases.
Deductions
Collect 80C, 80D, home-loan interest, education-loan interest and donation documents as applicable.
Check whether the benefit is available in the regime you selected.
80C: PPF passbook or statement, ELSS statements, life insurance premium receipts, tuition fee receipts showing the tuition component, and the lender's certificate for home-loan principal. Employee PF is picked up from payroll.
80D: health insurance premium receipts for self, family and parents, kept separately because limits are higher for senior citizens. Home-loan interest: the lender's interest certificate, plus possession details if interest from the construction period is being claimed.
Others: the education-loan interest certificate, NPS contribution statement for 80CCD(1B), and donation receipts with the institution's registration details. Cash donations above ₹2,000 are not deductible.
Before You Upload
Keep one folder per deduction and name files clearly, such as the month and amount for each rent receipt. Use the same names and amounts as in your declaration so the payroll team can match them quickly.
Upload readable scans or PDFs, keep the originals, and note the date you submitted. If the employer raises a query, answer it before the cut-off rather than resubmitting everything.
Common Reasons Proofs Get Rejected
Receipts in the wrong name, policies covering people the deduction doesn't include, tuition receipts that mix in other fees, certificates for the wrong year, and amounts that don't match the declaration. Check each document against the claim before uploading.
Payroll Review
Compare revised TDS with the remaining salary months after proof approval.
If you missed the employer's deadline, you can usually still claim the deduction in your return under the old regime, as long as you have the proof.
Use the HRA Calculator and 80C Deduction Calculator to size the claim, and the TDS Calculator to check the revised monthly deduction.
